A PRACTICAL GUIDE

How to extract text from a PDF

Get a plain-text copy for notes, searching or editing. Selectable PDF text can be extracted directly; scanned pages need OCR.

  1. Choose a PDF and select the pages you need.

  2. Set OCR to Auto, Off or Always. Choose the language when using recognition.

  3. Select Extract text, review the preview and download the TXT file.

Plain text leaves layout behind

TXT files contain words and line breaks, not fonts, pictures or page styling. Multiple columns and tables may appear in an unexpected reading order.

When to use OCR

Try direct extraction for digitally created PDFs. Use OCR for scanned pages or when the extracted text is empty. OCR supports up to 20 selected pages and may need correction.

Common questions

Why is the extracted text empty or jumbled?

A scan may have no text layer, so enable OCR. Complex columns or unusual PDF font encodings can also affect extraction. Review the output against the original.

Can I copy the extracted text?

Yes. Open Preview after extraction and use Copy text, or download the TXT file for use in another application.
